We’d like to explain our Privacy Policy and how Ilkley Brewery will collect and use your personal information.

Our Data Controller, who defines how personal data is processed and the purposes for which it is processed, and ensures outside contractors comply, is our Director, Luke Raven.

Our Data Processor, who maintains and processes personal data records, is our Office Manager, Liz Hibbett.

Our Data Protection Officer, who oversees data security, strategy and GDPR compliance, is our Managing Director, Richard Shelton.

We are committed to protecting your privacy and this statement summarises what personal details we may collect from you before and what we will do with them.

When you complete a New Customer Account Form, we will use your personal information to set you up as a customer in our ‘Brewman’ data management database. We regard this as your name, home address, phone number and email address. We will then administer to your order, provide you with a beer product, and your account details will remain on the Brewman system for any future ordering.  Brewman data is transferred across to our accounting tool ‘Xero’ where information is also stored.

At the bottom of the New Customer Account Form the following text appears:

“Here at Ilkley Brewery we take your privacy seriously and will only use your personal information to administer your account and to provide the products and services you have requested from us. Please refer to our Privacy Policy and Terms & Conditions for further information.

However, from time to time we would like to contact you with details of other beer products/offers/events/competitions we provide. If you consent to us contacting you for this purpose please we will ask how you would like us to contact you:

Only with your explicit permission, gained from the checked tick boxes, will we use your name and email address to send you marketing information, via Mailchimp. We will never pass on your information to any other associated companies to send you any unwanted marketing information.

We will contact you to advise of our new product availability; this will come via a phone call or in a mailshot format from Mailchimp. You can unsubscribe from this marketing tool at any time.

If we do not hear from you in one year, we will contact you and seek your informed consent that you are still happy for us to hold your data. If there is no positive, approved response from you, or should you request it, we will desensitise your account and remove your contact details (personal mobile phone number and personal email address.) Your account will remain in the Brewman system for the next seven years, as there will be a sales history associated and legally we have to keep a record, but your information will not be used in any format. This is in line with your right to erasure, right to restrict processing and right to data portability. 

When you email us, we will use your email address for the purposes of administering your query and responding to you.

We may keep remittances from customers as a record of payment though generally we do not keep electronic payment information for payments made to us. Within Xero, our accounting tool, only supplier payment details are stored.

We regard personal information as your name, personal address, mobile phone number and personal email address.
